Tips on managing a telephone conference call

Telephone conferencing is usually thought to be a large corporate's facility. This is no longer the case and with good planning the conference call will go very smoothly.

Prior to the conference call, the organiser should:

  • Circulate the date, time, conference call number and PIN to all attendees.
  • If there is an agenda make sure everyone gets a copy.
  • Make sure the chairman arrives early, to welcome the participants to the conference call.

Before entering the conference call, attendees should:

  • Switch off call waiting facilities on their phone.
  • Switch mobiles to silent or, preferably, off.
  • Take steps to avoid interruptions during the conference call.
  • turn off equipment which interferes with a cordless phone.
  • Avoid background noise during the conference call.
  • It usually takes a few minutes, while participants connect, before the meeting can start properly.

During the conference call, attendees should:

  • Speak clearly into the mouthpiece
  • Identify themselves when speaking
  • Remember there are several people on the phone
  • Not speak over each other
  • The Chair must ensure that everyone contributes and the business is completed

During the conference call, attendees should not:

  • Be late
  • Answer another call unless they can mute the conference phone
  • Put phone on hold, if it plays "music on hold" - everyone else on the conference call will hear it!
